Tenant Coordination

 

iOrganize’s company philosophy is to create working relationships with all parties involved in the construction and coordination process including Clients, Tenants, Professionals and Contractors.

 

iOrganize utilises project management as a core discipline to track and manage the Tenant Coordination process in its entirety. Our team, with over 25 years of industry experience, has one goal in mind with any project; to create a communication and information flow that ensures that both Landlord and Tenant, with their respective teams, meet their objectives with a win/win attitude.

 

Service Includes:

 

 - Draft Tenant Criteria Document (TCD), Whitebox Specification Document and a Signage Specification Document based on Client’s budget and specification..

 

- Host Leasing Meetings with all Stakeholders to manage Beneficial Occupation (BO) Dates and Landlord Commitments and communicate information to professional team and Tenants.

 

- Host Tenant Coordination Meetings with Professional Team to ensure Landlord scope and responsibility is clear and that the relevant consultant drawings are issued to site timeously.

 

- Ensure all parties adhere to Timelines as set out agreed program with client and main contractor and ensure construction is progressing as per Tenant Requirements.

 

- Compile, manage, track and circulate Tenant Coordination Schedule indicating leasing release required dates, BO dates (Including Notification Periods), Landlord and Tenant professional team information and Tenant Accounts.

 

- Draft, manage, track and circulate Tenant Scope of Works Schedule indicating Landlord VS Tenant responsibility for each signed tenant.

 

- Ensure Tenant submissions are managed and completed timeously including liaising and coordinating between respective Landlord and Tenant parties.

 

- Compile and issue Landlord Professional Team with Tenant Requirement documents stipulating Landlord vs Tenant Roles and Responsibilities and allocation of Costs for information and construction.

 

- Host design and site meetings with National and line shop tenants, relevant consultants, and main contractor to ensure specifications, long lead time items and program is adhered to.

 

- Host and complete a 90-day, 60-day, 30-day, 14-day and 7-day pre-Beneficial Occupation Inspection with tenant, principle agent and main contractor to ensure specifications and programs are adhered to.

 

- Complete Tenant Beneficial Occupation with relevant certification and sign off and handover.

 

- Issue Tenant with relevant COC’s for Landlord completed scope.

 

- Obtain Tenant sign off of both Landlord coordinated Base Building Drawing and Tenant account prior to being issued for construction.

 

- Manage Tenant Signage Submissions, approvals and erection on site.

 

- Manage Tenant Council submission timeously for Tenant to obtain Occupation Certificate.

 

- Manage Tenant Safety Requirements and ensure they are in-line with Client and Main contractor specifications

 

- Manage Tenant Program and progress on site to ensure trading date is achieved.

 

- Obtain Tenant relevant COC’s for Tenant completed scope.

 

- Manage Tenant Accounts including relevant invoicing protocols, signoff and confirmation of payments (Prior to Tenant BO).

 

- Assist Client / appointed project manager to ensure Tenant accounts are settled by both parties.

 

- All relevant Landlord and Tenant Close out documentation.
